Escape Volunteer Info

Congratulations for your invitation to volunteer at our forthcoming event!

Important Bits For Everyone:

  • When you receive your schedule, please check all columns thoroughly to ensure you do not miss any shifts.
  • In the interests of safety and time, we cannot have any volunteers on-site before 3pm on Friday unless you are part of the set-up team or have specifically pre-arranged early entry with Tim Sant-Turner. (Anybody on site without permission will be politely asked to leave.)
  • You will not be able to collect your key or get into your apartment earlier than 5pm. Volunteer check in will not open until this time, so please avoid hassling the desk!
  • Due to space availability, volunteers may be expected to use the sofa beds in the lounge area in the living room (that is if you do not wish to share a bedroom with anyone). Your own bedroom could be guaranteed for a fee on request, but this depends entirely on the number of bookings for the event.
  • We cannot give out contact details for other volunteers, however if you do need to contact someone, this can be done via the Weather Information Centre (during opening hours only).  
  • Don't forget your bed linen and your towels. 
  • All volunteers are expected to wear branded uniform. Click on the drop down menu for your duty type (at the bottom of this page) to view details about your particular uniform, how to obtain it and whether or not you’re required to pay a deposit.
  • It is crucial that you are at your post 5 minutes before your designated times to relieve the person before you.
  • If somebody is late relieving you, you must let Gaynor Crocombe know via text on the number detailed below. Please be flexible and willing to cover a shift should somebody not turn up. By texting Gaynor, we will have made a note of your extra assistance and reward you with fewer shifts at the next event.

Car Parking 

  • Car parking is plentiful at Southport and Brean sites, so simply turn up and park where you like. 
  • At Camber, car parking is limited and we cannot provide free parking for all. If you wish to park your car onsite, then you will need to purchase a car parking space online from the event website for £20 (via the accommodation booking page). We recommend doing this 1 month prior to the event as spaces inevitably sell out. 
  • At Camber, there is plenty of free offsite parking in the surrounding areas (although to avoid a ticket you need to refrain from parking on pavements or verges). You can access the main site to drop off your bags (from 3pm Friday) by handing over a refundable £50 deposit at the gate (refundable providing you leave the park from the same gate within an hour). 
  • At all of our weekenders, we encourage car sharing where possible to alleviate congestion and aid a greener event.

Escape Cabaret Stewards

Uniform

Your uniform is a high vis vest. There is no deposit required for this uniform. Please collect your high vis vest from behind/beneath the Weather Centre tables prior to your shift. After your shift, please return the high vis vest neatly to where you found it. If you are also a Silent Disco Steward, then you can keep the vest on you until the end of your shift before returning it. 

Important Bits For Cabaret Stewards

  • Arrive in main ballroom at 10.30pm by the DJ table with your high vis vest. Find Tim Sant-Turner who will inform you about anything that you need to be particularly aware of for the duration of your shift.
  • Your job will be to get people seated as the competition and cabarets start. Tim will make an announcement from the floor asking people to be seated and, as a team, fan out through the crowd gesturing for people to sit. 
  • Plan together as a team where you are each going to stand to make sure you cover the crowd between you. Move people back as Tim dictates and then encourage everyone to sit on the floor (especially at the back of the room as people will have chosen seats from very early, and will not appreciate somebody standing in front of them!)
  • When the performances start, position yourself behind the crowd and crouch down to avoid blocking the view. Tap people on the shoulder and ask them politely to sit down throughout the performances too.

Escape Car Park Attendants (Camber Only)

Uniform

Your uniform is an outdoor High Vis Jacket that you must wear for the entirety of your duty. Since you are finishing all responsibilities on Friday, it's best to bring it back to the Weather Desk as soon as your shift ends. 

Important Bits For Main Gate Car Park Attendants

  • Your role involves working at the main front gate to grant site access to those who have prebooked parking spaces.
  • You will be provided with a list of names and reg plates. Simply tick them off and grant access to the cars once that have been approved. Via Walkie talkies, the 'Outside Attendants' will communicate numbers to the 'Inside Attendants' who will confirm "YES" for access, or "NO" if the reg isn't listed.
  • If the reg isn't listed, the name of the driver must be obtained to see if it is on the list. If it is, the reg must be populated in the blank space. 
  • The 'Deposit Collector' is in charge of taking and recording details, plus a refundable deposit (£50), from those cars not on the list who wish to gain access to the site to drop off their bags. The £50 is then refunded when the same car exits the car park, and the name and registration number crossed off the list. 
  • If people already on site wish to leave with their vehicles, please send them to the Beach Gate to avoid delaying those coming in. 
  • The role should be simple, however it can be demanding and fast paced, and accuracy and clarity is crucial if it is to run smoothly.  If you have not completed this role before, please observe somebody who has in order to become familiar with the sequence of tasks.
  • You will be completing your role whatever the weather, so when it comes to clothing, prepare for blistering heat, torrential monsoon and everything in between! Also, wear comfortable shoes as you will be on your feet for the duration. 

Important bits for BEACH GATE Car Park Crew:

  • If you have been positioned on the Beach Gate, your role will mainly involve sending cars to the main gate in order to gain access to the site. Only certain crew can gain access via the Beach Gate, and you will be provided with a list of names and reg plates.
  • If cars already on-site wish to leave via the Beach Gate, provide them with 1 exit voucher per vehicle (which will be provided to you on the day). These cars can then regain access via the Beach Gate, once you have taken back their exit voucher.
  • Under no circumstances should you operate the barrier yourselves. Please leave this responsibility to Pontins security. 
  • People often try to beat the system and claim that they are allowed access at this gate, when they are not. Any enquiries or anomalies should be forwarded to Tim Sant-Turner on 07818 506291 before allowing the car onsite. 
  • The only cars allowed access via the beach gate are those who are present on the list, or those who you have previously provided with an exit voucher. ALL other cars must gain access via the main gate, unless otherwise guided by Tim Sant-Turner personally. 

Escape Masterclass Registrars

Uniform

Your uniform is a T-Shirt that you must wear for the entirety of your duty. You will be charged a £20 deposit for the uniform that will be refunded when you return it. Please make sure you have cash handy prior to the event, as the on-site cash machines charge for the privilege. 

Important Bits For Masterclass Registrars

  • There are two of you taking care of the Masterclasses. Regarding your schedule, I am happy for you to communicate and swap shifts if it suits you better, but please ensure all classes are covered. Please also ensure that your final draft of the schedule is sent to Gaynor at gaynor@ceroc.com prior to the event so she has a record.
  • Please both arrive at the Weather desk at 10:10am on the Saturday morning for a short briefing about your roles
  • You need to collect the relevant Masterclass sheet from the Weather Centre just before the session and make sure you are outside the Masterclass studio 5 minutes before the next class is about to start.
  • Firstly, ensure the room is emptied after the previous class finishes and feel free to politely hurry people out in order to get the next class started on time. Do not let the attendees of the next Masterclass into the room until it is completely empty (unless of course they are also attending the next Masterclass). 
  • Once the room is empty register people through the door for the next Masterclass, tick them off the list, and only in the case of any no shows, you may be able to accept the reserves into the room (labelled “R” on your list) taking £5 per head. 
  • During the Masterclass you need to sit at the entrance of the studio and make sure people don’t wander in or watch. 
  • It’s okay for you to sit inside the entrance and watch the Masterclass yourself if you want to, but if someone comes in take them outside before you speak to them so that it doesn’t disturb the teachers. (Watching Ladies Styling is a little insensitive, so we ask you remain outside the doors for these workshops.)
  • To give you maximum enjoyment time for the rest of the weekend, please feel free to bring lunch/dinner with you to eat whilst you are on duty. Please do however be sensitive and don't eat whilst inside the room, but position yourself outside the doors if you choose to do this. 
  • Always return the Masterclass sheet and any collected money to the Weather Centre afterwards as this is required for event reconciliation at the end of the weekend.

Escape Registration Team

Uniform

Your uniform is a T-Shirt/Sweat Jacket that you must wear for the entirety of your duty. You will be charged a £20 deposit for the uniform that will be refunded when you return it. Since you are finishing all responsibilities on Friday, it's best to bring it back as soon as your shift ends to get your deposit returned to you. Please make sure you have cash handy prior to the event, as the on-site cash machines charge for the privilege. 

Important Bits For ALL Registration Team

  • You are the only volunteers allowed on site prior to 3pm, so please avoid distracting or chatting to the set up crew. Their responsibilities are extremely demanding during this time period. 

Important bits for REGISTRATION Desk:

  • The welcome desk is where guests first arrive. It is the front line before they hit the registration desks.
  • Your job on this desk is to get the person to fill in a form (1 per person) and then send them to the relevant desk for Check-In. 
  • You are the first people our members encounter, so be smiley, welcoming and leave people feeling excited about the weekend.
  • Don’t forget to constantly shout out the relevant check in times for each standard of accommodation (a list will be provided for you) to ensure people are not able to check in before their allotted time. 
  • Please do not sit when hosting the welcome desk. Standing behind the desk is important to give the guests a good first impression of the event. 

Important bits for CHECK IN desks:

  • Each member of our crew will be positioned with a member of Pontins staff.
  • The member of Pontins staff finds the correct envelope and your role is to put the person's wristband on them and give them their welcome pack.
  • Do not give anyone any other wristbands to take to their friends – all individuals are required to check in themselves and to have the wristbands attached by Ceroc crew.
  • You are the first people our members encounter, so be smiley, welcoming and leave people feeling excited about the weekend. 

 


Escape Row Organiser

Uniform

Your uniform is a T-Shirt that you must wear for the entirety of your duty. You will be charged a £20 deposit for the uniform that will be refunded when you return it. Please make sure you have cash handy prior to the event, as the on-site cash machines charge for the privilege. 

Important Bits For Row Organisers

  • Because of the sheer sizes of the classes, there is likely to be a large number of people over. Teachers will have their own system of class rotation and will need Row Organisers to help with this.
  • Please position yourselves in a prominent position in order to guide people around. Please go to the teachers 5 mins before the class is about to start to introduce yourselves and check the system the teachers will work to, and pay constant attention to what the teacher is saying throughout the lesson to avoid bottle necks.
  • Pay close attention to the changing dynamics of the room, as your vigilance will make the teacher's role much easier. If there is the need for more rows, more space at the back of the room etc, find a convenient time to politely notify the teacher who will announce to the room.
  • If there is a gender imbalance, please feel free to grab someone for a dance and join in with the lesson, providing it does not affect your marshalling responsibilities. 

Escape Silent Disco Stewards (Camber Only)

Uniform

Your uniform is a high vis vest. There is no deposit required for this uniform. Please collect your high vis vest from behind/beneath the Weather Centre tables prior to your shift. After your shift, please return the high vis vest neatly to where you found it. 

Important Bits For Silent Disco Stewards

  • Arrive in the Cube 10 minutes before your shift is due to start. Make sure you are wearing a high vis vest.
  • Hand a set of wireless headphones across to everybody who comes into the room, and wish them an exciting Silent Disco experience!
  • When the headphones are returned, they need to be thoroughly cleaned with an anti-bacterial wipe (provided for you at the Silent Disco desk) ready for the next member. 
  • When the Silent Disco finishes, all headphones need to be cleaned and neatly stored in the flight cases provided, and the flight cases sealed shut. 

Escape Taxi Dancers

Uniform

Your uniform is a Taxi T-shirt that you can bring from home if you wish. If you do not have a Taxi T-shirt, you will need to get a branded T-Shirt from the Weather Desk that you must wear for the entirety of your duty. You will be charged a £20 deposit for this T-Shirt that will be refunded when you return it. Please make sure you have cash handy prior to the event, as the on-site cash machines charge for the privilege. 

Important Bits For Taxi Dancers

  • Once again we have employed the assistance of capable females who can both lead and follow to limit the affect of any gender imbalance.
  • It is vitally important that you are at your posts a little before the designated times to welcome the Beginners, introduce yourself and put them at ease. 
  • The most important part of your role is nurturing confidence. Remember the simplest of gestures can make the world of difference. Smile, pay a compliment, applaud and if possible, find them for a dance during the evening. 
  • The Beginner teacher will host a Beginners mini freestyle in a particular area of the main Thunderball Room on both Friday and Saturday evenings. Please attend, bring your friends, and help welcome the Beginners into an otherwise intimidating environment. 

Escape Weather Desk Receptionists

Uniform

Your uniform is a T-Shirt/Sweat Jacket that you must wear for the entirety of your duty. As you are already on the Weather Desk, no deposit will be required for your uniform. You can keep your T-shirt on you for the duration of the weekend, but please ensure it is returned at the end of your final shift. The Weather Desk can be cold during the winter months, so dress appropriately, and wear your branded clothing over the top.

Important Bits For Weather desk Receptionists

  • The Weather Centre is the information desk where the following functions will be controlled:
  1. Handling enquiries
  2. Booking Masterclasses (members to pay you at the desk, £5 per head)
  3. Selling DVDs (and giving people advice on the Ceroc Hub)
  4. Gathering signatures on teacher invoices
  5. Taking and returning Crew Uniform Deposits
  6. Tracking down Duty Managers/First aiders as required
  • You are the main dance reception for the event, so please remember a friendly, enthusiastic and helpful disposition are essential at all times, irrespective of what time you got to bed last night!
  • Gaynor will do a short briefing with you all at 7.30pm on Friday evening, so please ensure you are all at the Weather Desk promptly at this time. If any of you can’t make the briefing at this time, there will be a repeat briefing at 10:20am on the Saturday morning. You must attend either 1 of these 2 briefings.
  • IMPORTANT - please don’t give any folders, money or Weather Desk literature to anybody other than Tim Sant-Turner or Gaynor Crocombe. There are no exceptions. We will collect everything on Sunday. 

Escape Wristband Checkers

Uniform

Your uniform is a high-vis vest that you can wear over your clothing. Therefore, dress to suit the weather, particularly if you are near an external door. You will collect the vest from the person before you and pass it on to the person following you. If you are on the first shift of the day, please collect your vest from beneath/behind the Weather Desk. They will be left in clear view. If you are on the last shift of the day, please return your vest neatly to the weather desk ready for the following morning. There is no deposit required for your uniform. 

Important Bits For Wristband Checkers

  • All wristband checkers will be expected to take on 1 extra shift in the case of absences or last minute cancellations from other crew members. In the majority of cases, this does not happen, but please be prepared to help out when needed. 
  • Wristband checker’s schedules have been arranged to provide a fair spread of early, daytime and late shifts. 
  • Your role is quite simply checking that people coming into the building are wearing a gender-specific wristband. Please politely ask every person (even crew members) to show their wristbands upon entry and if someone does not have a wristband on, tell them they cannot enter. 
  • When you check in, be sure to ask the Weather Desk Crew what the wristband colours are for this weekend. Some people try to cheat the system by wearing last year's colours, so please stop anybody from getting on site if they are wearing the wrong colour wristband. 
  • If somebody needs to check-in in order to get their wristband please send them straight to reception, and monitor them on their return.
  • If somebody needs a wristband after hours (because theirs has fallen off or has tightened too much on their wrist), then you must contact Duty Manager James Ross - 07866 315528 - who will always have a number of spares on his person. 
  • You should never find yourself in a confrontation. If you think someone has walked in who should not be at the weekend, or if someone ignores your request, please make a mental note of their description and tell a teacher or a member of Pontins Security. This is not a security job, we do not want you to get into any altercations with anyone going in or out – any problems will be handled by Pontins Security, you just need to be our eyes and ears whilst on the door in case of gate crashers. Please save our Duty Manager's number in your phone – Myles Woodhouse: 07770 578279 – for use in emergency only.
  • Please do not sit on your phones during your shifts It is important that the members can see you vigilantly checking wristbands, and I often see people going unnoticed when checkers are distracted. We don’t mind you checking your phones, or briefly answering messages, however your primary objective will always be monitoring who is entering and exiting the building. Definitely leave your iPads back at the chalet and understand how unprofessional it looks to be playing games. 
  • Southport only - in the case of extremely wet weather, and if you are manning the doors to the bar, you may be asked to prevent people entering and instead ask them politely to enter the building via the main reception. This is to prevent the dance floor getting wet. People will still be able to exit through the doors at all times. This will not be a decision that you need to make, and will be communicated to you by a Duty Manager at the event.
