TERMS AND CONDITIONS FOR ESCAPE VOLUNTEERING/CREWING

Update July 2023

Thank you for your interest in volunteering/crewing at a Ceroc escape event. Please read the following Terms and Conditions in full before completing the application form at the foot of this page.

Teacher and DJ queries should be forwarded to tim@ceroc.com

All other volunteer queries should go to gaynor@ceroc.com

1. OPPORTUNITIES

Volunteering and crewing opportunities are subject to availability, therefore you may not be allocated every event that you select. We try to be fair and rotate around all crew on our list to provide a spread of opportunity.

You will be notified via email about whether or not you have been successful well in advance of the event. This will allow sufficient time to book as a paying member should you not receive your requested date.

2. REWARDING HARD WORK

The Escape Committee monitors all volunteers across the weekend. Hard work, punctuality and a willingness to reflect the high standard of our events will be rewarded with further opportunities. Lateness, absences and poor quality service will result in other more enthusiastic volunteers taking your place at future events. Apologies if this sounds harsh, however the quality of our weekenders for our members is paramount.

3. ABSENCES

Committing over a year in advance is a big ask, and unexpected priorities can suddenly appear in your life. If you are unable to volunteer at an event that you have previously agreed to attend, then simply contact gaynor@ceroc.com at your earliest possible convenience to notify me. This will not affect your chances of appearing at future events, however the efficiency of your email would be appreciated so alternative volunteers can be sourced.

4. ACCOMMODATION

All volunteers will receive a wristband for the event, plus accommodation. Volunteers will always be housed in accommodation with other volunteers. Whilst we try our hardest to meet all accommodation requests, specific configurations can never be guaranteed.

Please do not agree to crewing or volunteering if you are not happy with sharing accommodation.

Volunteer/Crew Accommodation CONFIGURATIONS (Classic & Budget)

NB. All chalets have a sofa bed in the main lounge area, in addition to the bedrooms.

  • ALL EVENTS - 2 couples sharing a 2 bed chalet
  • Blush, Storm and Bliss - 2 individuals sharing a 1 bed chalet (same gender, unless requested otherwise)
  • Blush, Storm and Bliss - 3 individuals sharing a 2 bed chalet (same gender, unless requested otherwise)
  • Scorch, Jamfest and Splash - 3 individuals sharing a 1 bed chalet (same gender, unless requested otherwise)
  • Scorch, Jamfest and Splash -4 individuals sharing a 2 bed chalet (same gender, unless requested otherwise)
  • 5/6 individuals sharing a 2/3 bed chalet can be arranged at your request

Existing accommodation arrangements may not be able to be honoured, so please request again on the form, but please understand they may not be able to be actioned.

Solo occupancy may be available (subject to room availability) for a fee of £110, however this is rarely available for Summer events Scorch, Splash or Jamfest.

5. ADDING FRIENDS/PARTNERS

Non-crewing friends or partners can sometimes be added to your booking for a fee of £125, subject to room availability and the current gender balance status. Feel free to request at tim@ceroc.com, and I will notify you at the earliest convenience if it will be possible. As this cannot be guaranteed however, please do not volunteer for an event if staying with a non-crewing friend or partner is essential. Existing partner arrangements may not be able to be honoured, so please request again on the form.

6. STAYING WITH FRIENDS/PARTNERS

If you wish to stay with your friends booking and do not require crew accommodation, then please notify gaynor@ceroc.com ASAP. This will free up valuable bed space for other volunteers, and is therefore an option at any event.

7. NEW VOLUNTEERS

If you have a friend/partner who wishes to volunteer at the weekender, please tell them to notify gaynor@ceroc.com. The waiting list is long however, especially for females, so an email request does not necessarily guarantee them a place at any event.

8. WORKING HOURS

All volunteers are expected to complete between 5 and 7 hours of work spread across the weekend. This workload can increase to up to 8 hours at our Summer events (Scorch, Jamfest and Splash) where places are competitive and accommodation needs to be reserved for our paying members. Requests for particular hours are never guaranteed as balancing the schedule can be extremely challenging.

Existing work hour arrangements may not be able to be honoured, so please request again on the form, but please understand they may not be able to be actioned.

9. RESPONSIBILITIES

The full list of volunteer responsibilities are as follows. You may be required to complete more than 1 role across each event. The wider the range of roles you are willing to complete, the more likely you are to be considered for the event.

Volunteer/Crew Responsibilities

  • Teacher
  • Main Room DJ
  • SILC Room DJ
  • Registration (must be available from 2pm on the Friday)
  • Late registration (Fri 11pm - Sat 4am)
  • Weather Information Centre
  • Wristband Checking
  • Masterclass Registrar
  • Taxi Dancer (Beginners classes)
  • Cabaret Steward
  • Car Park Steward (Camber Only. Must be available from 1pm on the Friday. Later shifts can be requested)
  • Silent Disco Steward (Camber Only)

10. CAR PARKING (Camber only)

Car parking is limited at Camber, and we cannot provide free parking for the large quantity of volunteers we have at this event.

Car parking vouchers are only reserved for Teachers and DJs.

If you wish to park your car onsite, then you will need to request with gaynor@ceroc.com. £20 payment will be due when you check in and collect your wristband at the Weather Desk.

There is also plenty of free offsite parking in the surrounding areas. You can access the park to drop off your bags (from 3pm Friday) by handing over a refundable £50 deposit at the gate (refundable providing you leave the park from the same gate within an hour). Please help us to alleviate the parking issue by car sharing when possible with friends and fellow volunteers. If you are contacted about crewing at a Camber event, we recommend requesting parking early with gaynor@ceroc.com to avoid disappointment as the spaces will sell out months in advance of the event, and you will not be sent a reminder to book.

Parking at Southport is free and readily available for all, however we encourage you to be green, and car share where possible.
