TERMS AND CONDITIONS FOR ESCAPE VOLUNTEERING/CREWING
Volunteering opportunities are subject to availability, therefore we cannot guarantee that you will be allocated every event that you select. Priority will always be given to those who can attend multiple weekends across the year. Our peak Summer events attract so much interest that volunteers need to be limited, so priority will be given to those who also assist at our quieter Autumn and Spring events.
You will be notified via email about whether or not we will be using you to volunteer at a particular event well in advance of the event date. This will allow sufficient time to book as a paying member should you not receive the dates that you requested.
2. REWARDING HARD WORK
The Escape Committee monitors all volunteers across the weekend. Hard work, punctuality and a willingness to reflect the high calibre of our events will be rewarded with further opportunities. Lateness, absences and poor quality service will result in other more enthusiastic volunteers taking your place at future events. Apologies if this sounds harsh, however the quality of our weekenders is paramount, and we are not short of new recruits bashing down my chalet door to receive volunteering opportunities!
Committing over a year in advance is a big ask, and we empathise that unexpected priorities can suddenly appear in your life. If you are unable to volunteer at an event that you have previously agreed to attend, then simply contact me at firstname.lastname@example.org at your earliest possible convenience to notify me. This will not affect your chances of appearing at future events, however the efficiency of your email would be appreciated so alternative volunteers can be sourced.
All volunteers will receive a wristband for the event, plus accommodation. Couples will always be housed together, however please be aware that you will most likely be housed with other volunteers in your chalet. The different accommodation types are detailed below for your reference, however please understand that requests for specific configurations can never be guaranteed.
Volunteer Accommodation CONFIGURATIONS (Classic & Budget)
NB. All chalets have a sofa bed in the main lounge area, in addition to the bedrooms.
- 2 couples sharing a 2 bed chalet
- 2 individuals sharing a 1 bed chalet (same gender, unless requested otherwise)
- 3 individuals sharing a 2 bed chalet (same gender, unless requested otherwise)
- 3 individuals sharing a 1 bed chalet (same gender, unless requested otherwise, only @ busy Summer events)
- 4 individuals sharing a 2 bed chalet (same gender, unless requested otherwise, only @ busy Summer events)
- 5/6 individuals sharing a 2/3 bed chalet can be arranged at your request
Existing accommodation arrangements may not be able to be honoured, so please request again on the form, but please understand they may not be able to be actioned.
5. ADDING FRIENDS/PARTNERS
I often receive requests from volunteers to add non-crewing friends/partners to their room/chalet, paying a fee for their wristband only. This can sometimes be arranged, subject to room availability and the current gender balance status. Feel free to request, and I will notify you at the earliest convenience if it will be possible. As it cannot be guaranteed however, please do not volunteer for an event if you would not wish to attend alone. Existing partner arrangements may not be able to be honoured, so please request again on the form, but please understand they may not be able to be actioned.
6. STAYING WITH FRIENDS/PARTNERS
If you wish to stay with your friends in a room that they have booked through the website, this will free up a bed space for further volunteers. This is available at every event, so notify me at email@example.com and I will add you to their booking free of charge.
7. NEW VOLUNTEERS
If you have a friend/partner who wishes to volunteer at the weekender, please tell them to notify me at firstname.lastname@example.org. The waiting list is long however, especially for females, so an email request does not necessarily guarantee them a place at any event.
8. WORKING HOURS
All volunteers are expected to complete between 5 and 7 hours of work spread across the weekend. This workload can increase to up to 8 hours at our Summer events (Scorch and Jamfest) where places are competitive and accommodation needs to be reserved for our paying members. Requests for particular hours can never be guaranteed as balancing the schedule can be extremely challenging.
Existing work hour arrangements may not be able to be honoured, so please request again on the form, but please understand they may not be able to be actioned.
The full list of volunteer responsibilities are as follows. You will only ever be assigned 1 role for the entirety of the weekend, however the wider the range of roles you are willing to complete, the more likely you are to be considered for the event.
- Main Room DJ
- SILC Room DJ
- Registration (must be available from 2pm on the Friday)
- Late registration (Friday midnight - 4am. Antisocial hours, but only 4 hours of work for the whole weekend)
- Weather Desk
- Wristband Checking
- Masterclass Registrar
- Taxi Dancer (Beginners classes)
- Cabaret Steward
- Car Park Steward (Camber Only. Must be available from 2pm on the Friday)
- Silent Disco Steward (Camber Only)
10. CAR PARKING (Camber only)
Car parking is limited at Camber, and we cannot provide free parking for the large quantity of volunteers we have at this event.
Car parking vouchers are reserved for Teachers, DJs and those that need to be onsite prior to 3pm ONLY.
If you wish to park your car onsite, then you will need to purchase a car parking space online from the weekender website for £20 (subject to availability). There is also plenty of free offsite parking in the surrounding areas. You can access the park to drop off your bags (from 3pm Friday) by handing over a refundable £50 deposit at the gate (refundable providing you leave the park from the same gate within an hour). Please help us to alleviate the parking issue by car sharing when possible with friends and fellow volunteers. If you are contacted about crewing at a Camber event, we recommend purchasing parking sooner rather than later to avoid disappointment as the spaces will sell out months in advance of the event, and you will not be sent a reminder to book.
Parking at Southport and Brean is free and readily available for all, however we encourage you to be green, and car share where possible. .
